Records

What is Records?

Records is an employment documentation management and e-signature tool that will be used for on-boarding forms, contracts, and other miscellaneous forms. Sign into records any time by navigating to records.nsd.org.

 

Instructions on signing contracts via Records:

HR Data Management is pleased to announce that as of the Fall 2018, all contracts will be distributed electronically using the new electronic personnel document management system, Records.

You will receive an email with an invitation to sign your contract.
To view and sign your contract simply:

  • Click the link in the email to log in to Records using your Northshore email address and password that you set up for Records (or go directly to records.nsd.org)
  • In 'All Tasks' section, click 'View' on each of your Contracts
  • Review your salary placement and contract information
  • In the workflow section, enter your name on the signature line to sign electronically
  • Complete to submit your contract to Data Management!

The contract will then move to the 'Completed' tab once it has been successfully signed. You may log into Records at any time to access your documents and review your already signed contracts.

 

Performance Matters (PD System)

Northshore strongly supports our staff in their search for professional development opportunities. Performance Matters is an advanced system that contains creating, registering, awarding, and tracking of professional development clock hours. Our district led classes and in-services are now available through Performance Matters by navigating to pd.nsd.org. 

Log-in instructions:

  • Type pd.nsd.org into any web browser and hit enter.
  • Enter your district username (e.g. jsmith@nsd.org) and click Next.
  • Enter your district password and click Sign in.

After signing in, click on the Resources Tab to access user guides and videos about navigating the system.

Course Requester

The District is an approved clock hour provider in Washington State and must comply with the laws and regulations governing the awarding of these clock hours. Course Requester, formerly Instructors, must follow specific guidelines when creating professional development courses.

  • A Course Requester must be approved by their Building Principal or District Administrator.

  • If you have permission to enter a new course, you will need to have completed a required training video (#31226) before you will be assigned a Course Approver or able to begin entering a course.

  • Once you're an established Course Requester the following will be required:

    • We advise that courses be requested two weeks in advance of the class date.

    • Designated Course Approvers must review course details and agendas prior to the course approval.

    • Attendance is the Instructors responsibility.

Course Requesters will work with their assigned Course Approver, see the list below:

  • Anne Deutschman - South Region schools, Counselors, Equity & Diversity, and Math & Secondary TOSA's (x7703)
  • Ingrid Nelson - East Region schools, ELL, SPED, and Sorenson (x7709)
  • Laurie Lundberg - West Region schools and Elementary & Science TOSA's (x7705)
  • Stephanie Greany - Health Services, Human Resources, Induction TOSA's, Technology, and Transportation (x7602)

Course Requester guide

After you have signed into your account, review the Resource tab and scroll to your appropriate section to find additional information.  General User instructions can be viewed in a video located on the Welcome page.

Instructor

Instructors are required to enter attendance for each section into the PD system. Once the section has completed and attendance has been entered, instructors will then submit the section for credit approval.

What if the Submit for Credit Approval button is missing? This course was imported from PDPlace. Email staffdev@nsd.org after you have taken attendance to let them know you are ready for them to award credit for your section/course. Please label the subject line "Submit for Credit Approval".

What if a course you are the instructor for is missing with the migration from PDPlace to the new system? Contact staffdev@nsd.org or your course approver to be added to the course with the instructor role.

Frontline (Aesop)

Northshore uses Frontline (formerly Aesop) for NSEA, ESP, and NEOPA employees to record their absences. Frontline can be accessed both via the web and the phone.

Employee Online

Employee Online is a self-service module available to all district employees providing various personnel and payroll information and allows employees to provide updates to their personal, payroll, and benefit information online.

If you are a new employee, an email will be sent with your login username information. Follow these instructions on how to create an account or recover your password. If you are still having trouble logging in, please contact the Technology Help Desk.
